Definitions.
In these terms ‘We’ and / or ‘us’ refers to That Dog Guy Ltd & its Affiliates including but not limited to That Dog Guy Kensal Rise Ltd.
The term ‘you’ or ‘your’ refers to the client (you) who wishes to purchase services from ‘us’ That Dog Guy Ltd and its affiliates.
‘Working day’ refers to Monday to Friday 8.30am-5.30pm GMT.
‘Carer’ refers to any helper, worker, sitter, trainer, consultant, self-employed personnel, volunteer or employee that you request via That Dog Guy Ltd and its affiliates or that, That Dog Guy Ltd and its affiliates books to provide services on your behalf.
‘Local area’ refers to locations south of the A40, north of King St, West of Shepherds Bush roundabout and east of Chiswick Park Station.
PSP (Pet Sitter Plus) refers to the software we use to manage bookings and store your data
Terms of Requesting and Booking Services.
By requesting services with us and allowing us to take custody of your dog, you agree to the following terms:
It is your responsibility to ensure you have disclosed any history that may affect our ability to safely care for your dog, including but not limited to bite history, fear, phobias, likes and dislikes. Medical history and past incidents including but not limited to reactivity to dogs, persons or things. Anxiety in vehicles or a history of running off.
Failure to accurately disclose any of this information or keep us updated of incidents will invalidate any right to hold us responsible for any incident that could have been avoided with this information.
Equipment
It is your responsibility to provide equipment to allow us to safely care for your dog. If for any reason we are required to buy equipment on your behalf a £5 surcharge will be billed to you per item for our time as well as the charge of the item and its delivery. However, please note we do not sell or manufacture products ourselves and thus if a product we purchase or suggest to you causes damage to anyone or anything then we accept no responsibility.
Timings & what’s included
In the event a carer offers to take your dog for an overnight and wishes to charge there will be one rate for the overnight section which will cover up to a maximum of 24hrs but no refund if they spend any less time with us. There will also be a compulsory minimum of a 2hr walk booked for this period on top.
Pick-up and drop-off will only be included in the price if it coincides with your carer’s regular walks or pick-up and drop-offs in the local area. In the event you need a more specific pick up time, you can arrange pick-up and drop-off with your carer via your whats app group (and incur a charge of their choice) or you may collect and drop off your dog to and from the carer's home yourself.
If your dog is booked for boarding after walks, please make sure they have had at least a one hour walk or sufficient exercise for your dog before they arrive. It is very clear when a dog has not had enough exercise and if that has occurred an extra 1-2-1 walking charge will be invoiced to you.
The minimum care charge is 1 x 24hrs (no half days on their own.) Care outside the hours of 8.30 am - 6.30 pm will automatically be charged at an overnight rate not day-care.
If your dog requires a short walk the minimum walking rate of 40 mins 1-2-1 will apply.
If a carer is doing a favour and boarding your dog, the typical routine includes a short morning, evening, and pre-bed stroll or time in the garden and a 30-120min lunch-time walk as appropriate for your dog. That along with food puzzles in the house should be enough for most dogs, however, if you have a large / particularly energetic / young dog who requires additional walks or care, please discuss this with That Dog Guy prior to paying for your booking as the extra walking charge will likely be due.
Group Standard walks will get a minimum of 1 hr in the park, normally longer, commute time is not included in this 1hr.
Long walks will get a minimum of 1hr45mins in the park, usually longer. Commute time is not included.
We reserve the right to put your dog on two consecutive 1hr walks as opposed to 1 x long walk, therefore if you would not like this please let us know in writing prior to booking.
We reserve the right to give your dog a free upgrade to a long walk from a standard walk therefore if you would not like this please let us know in writing prior to booking.
Training walk times are usually door-to-door. 1-2-1 walks will depend on your dog's needs and the distance between you and the park.
Initial training consultations typically last 45mins-1h15 mins. Follow-ups typically last 30mins-60 mins. However, if it is right for you and your dog to finish sooner there will be no part refund.
If you book day care, the carer may pop in and out to do another dog nearby, bring another pup with them or take your pup with them to see another dog depending on what is appropriate for your situation. If that is not right for you, or your dog needs 24hr supervision, please let us know and ensure you book that specific service.
We tend not to leave dogs for more than four hours, but if your dog has difficulty sleeping or being left alone and thus requires 24hr supervision you will be responsible for additional charges so please be sure to disclose this information before booking.
The time provided for group walks is the estimated walk time and you should thus expect collection from up to an hour beforehand, but allow up to 45 minutes after the time too. Any cancellations based on us arriving up to an hour before the walk time or 45 mins after will be charged at full rate. This also applies to training walks if your dog is joining a group.
For 1-2-1 training consultations, please allow 30 mins either side of your appointed time. If you are not available 30 mins before, it will be considered a cancellation on the day and we will provide no refund for being up to 30 mins after the appointed time.
Some training takes place indoors, some outdoors. Whilst we will always endeavour to plan your appointments accordingly, it is your responsibility to alert us if you have an outdoor appointment at a time where it will be too dark.
Dog’s Health, Disease Prevention and Care
By placing your dog into our care, you confirm that your dog is in good health, over eight weeks old, up to date on all legally required vaccines as well as Bordetella* (kennel cough) and had an appropriate course of anthelmintics (de-wormers) and flea treatment. You will need to upload proof of these documents to your Pet Carer Plus (PSP) client account. We will not be responsible for any health issues that arise with an unvaccinated dog and you may be held responsible for the welfare of any dogs that your unvaccinated dog has come into contact with.
Further, you agree to have cleaned and disinfected all your dog’s equipment (bed, lead etc) prior to giving it to your carer. Therefore it may be preferential for you to only provide the minimum equipment’s needed for your dog’s stay.
If your dog has any pre-existing health conditions, please make sure you have disclosed these to That Dog Guy in writing prior to your dog’s visit along with a letter from your vet clearing them to be in contact with other dogs in our care.
If your dog requires medication, we can only administer it if you provide written approval from your vet.
Please note the bordetella vaccine is not 100% protective but it reduces the symptoms in animals that are exposed and is required that all dogs in group services have it. It is not legally required in the UK, so you must specifically ask your vet for it.
Grass seed getting wedged in the ears or paws is a common seasonable problem. Owners of all dogs, especially more vulnerable breeds, should make sure the fur on their paws, toes and around their ears is trimmed very short during the summer and autumn months. Whilst we take every care to avoid incidents with such things, it is a natural hazard that we cannot accept responsibility for.
By booking your dog into care with us you agree that your dog may be cared for at the same time and same environment as dogs from other households. This includes being fed in the same room as another dog if your carer feels it is appropriate for your dog.
If appropriate to your dog (i.e. it has been ‘crate trained’ to happily use a crate), you agree that your dog may be crated at appropriate times.
If we need to be out for longer than 4hrs when caring for your dog we reserve the right to ask another member of the That Dog Guy Team to care for your dog for that period.
Grooming
All dogs need to be groomed once in a while, but some dogs need a bit of basic grooming to prevent matting and discomfort each day. If this is your dog, please provide their brush. If your dog requires more than basic grooming, please show your carer and be prepared that care may then fall under the Specialist Boarding rate. Please note it is not your carer’s responsibility to untangle pre-existing matts so if necessary please have your dog professionally groomed before their arrival.
Un-Neutered Dogs
In general un-neutered males need to be boarded alone from sexual maturity onwards. We know your dog may be great, but we have to account for how other dogs react to them. We are unlikely to be able to offer 1-2-1 boarding.If we do have someone available 1-2-1 then the specialist boarding rate will be charged.
We are unlikely to be able to board or offer a group walk to females during the proestrus & estrus parts of their heat cycle and vet’s visits for pre-existing health conditions will be charged at £50 + £25 / hour + parking. If we have managed to provide individual care for your un-spayed dog at a point where she could come into heat, please provide disposable diapers or 2 x washable ones as well.
If you have booked dogs in for group care and we have to find alternatives due to them coming into season, you will be responsible for the costs, administration time and cancellation of the previously booked service.
Signs that your dog should see a vet
A significant change in behaviour, vomiting, diarrhoea, lethargy, butt-scooting, discharge of the eyes or nose that is coloured or thick, inflamed or oozing sores, excessive scratching, head shaking, sneezing, honking, coughing etc could be a sign of illness, fleas or other skin parasites. If your dog displays these symptoms, you must take your dog to the vet before allowing them into our care. Should your dog exhibit these signs whilst already in our care, we will take them to see That Dog Guy local vet and if a contagious ailment is discovered, we will arrange for them to be cared for by your emergency contact. In this case it is your responsibility to pay the vet. If we pay on your behalf we will charge you 5%.
Reactive Dogs
For reactive dogs / ones with behaviour issues / have bitten before or you are concerned they might, we will need a behaviour consultation booked first to assess their needs are being met and that we can then safely accommodate them so please allow time for this. If you have already had a consultation with a professional trainer / behaviourist and thus have protocols in place to manage the behaviour, you can send this to us and we may be able to skip the consultation, but in most cases our own assessment will be required.
Consultations will take place at your home if you are in the local area or you will need to come to us on a weekday afternoon.
An additional day or walk may be charged for caring for some behaviour issues.
If a behaviour issue is discovered that has not been disclosed then we ask your emergency contact to pick up your dog. If your contact is not available and we can’t safely care for your dog any more, you will be held responsible for any costs associated with finding and providing alternative care, including admin hours. You will also be responsible for the costs, administration time and cancellation of the previously booked service.
We reserve the right to use a muzzle and other safety equipment as we deem appropriate whilst in our care. You have the right to ask exactly when, where and why this happened.
1-2-1 walks may be required for reactive dogs, but if we enrol them in group walks please take special note of the cancellation policy.
Meet & Greet/ Trial nights and Phone Consultations
Your carer may want to meet you and your dog in person before booking them in for boarding / group walks or other services. If this trial lasts more than 10 minutes it will be charged to you at the full rate of that service regardless of if we agree to take them into our care in the future.
Equally we reserve the right to charge any phone consultation that lasts longer than 10 mins as a training consultation.
Security
If you have provided me with access to your property, you agree that That Dog Guy and its carers may enter the property to fulfil the job you requested of us. We will only give access to your home to carers well-known to us and each carer will have their photo ID and proof of address stored on file for your safety.
We will not accept liability for any loss of keys unless you provided a key safe at your property, in which case if we lose them, we will replace the key. We will not replace locks unless an incident occurs that makes the cost recoverable under our insurance policy. We will never attach or leave your keys with your address and advise you to do the same.
Sitting
We expect the carer to be comfortable whilst staying in your home. Therefore, it is expected that you have wifi, heating, hot water, a fridge, cooker & bed available for your carer. If it is a stay over a couple of days, we hope that you don't mind if their partners visit either should they wish, please state in writing prior to booking if this will be an issue. We also ask that the carer is notified in advance if you have any other friends / family / workmen dropping in during their stay. Your carer will provide their own food, but we are sure they would appreciate being allowed to use any everyday basics such as salt and pepper / bin bags etc. If any of these are an issue, please ensure you let That Dog Guy know in advance so the carer can evaluate if they wish to stay before they accept the job.
Sitting pricing is the same as boarding pricing. Most carers will likely still be paying rent on their own home, but they have chosen to sit at your home either as you have requested or because they’re not permitted dogs at their home.
Please provide parking if the carer needs it or additional parking charges may be added to your invoice.
Weather
We will head out for walks and training no matter the weather if it is safe to do so.
In the event of extreme weather where it is not safe to walk then we will offer a 121-home visit instead. If you have a booked a group service, the price will be the same but the home visit much shorter so all dogs in that group can be visited in the same time. Whilst usually they will not, if you choose for us not to come your carer reserves the right to charge full rate as it’s a cancellation with less than 2 working days’ notice.
Likewise, if we cannot safely reach your destination your carer reserves the right to charge full rate as it’s a cancellation with less than 2 working day’s notice.
During heatwaves, we will move walks to early morning in order to be back before it hits 24 degrees. If you do not want this, please be sure to cancel within 2 working days of your walk or you will be charged.
If this is too early for you in regards to getting back from work, please be prepared to look at our day-care or 1-2-1 walk options as an alternative and be sure to have looked at the weather predictions at least 2 working days prior.
Please leave a towel and hose or whatever is appropriate for your house and pet easily available if you wish for your dog to be washed down and dried off.
Please note we do not have the time or equipment to provide a full wash and shampoo so please ensure there is a location that your dog can safely be left without water and mud causing damage to your home. If no safe space is provided and no note about it listed in the portal, we will not accept responsibility for damage, including but not limited to, laundry bills.
If your dog is concerned with a particular weather type please be sure to look ahead and cancel 2 working days prior to avoid being charged.
Training
We use scientifically proven, reward-based methods, but no trainer, including us, can guarantee results. It really depends on you and your dog and how much work you put in. Therefore, no refunds will be given if you don’t get to where you feel you want to get to.
Training plans should arrive with you via email in 2 working days but please allow 5 working days in busy periods and check your junk mail.
Parking
For 1-2-1 services, day-care and boarding at your home, you are responsible for the carers parking. If you do not pay for it yourself, it will be added to your bill.
Responsibility
We can be responsible for any injury or illness your animal gets whilst it is in our care, custody and control, provided the injury / illness arises from an accident that can be proved as a direct result of our negligent actions. Our responsibility is limited to that recoverable under our Pet Business Insurance (policy wording available upon request) with the main insuring conditions summarised as follows:
Limits of indemnity:
· Our liability is capped at £20,000 for injury to animals and £1,500 for costs associated with an illness.
· Public Liability £5,000,000.
· Employers Liability £10,000,000.
· Loss or Theft of Keys £5,000.
· Travel Costs £500.
· Loss of Licence £10,000.
· Legal Expenses £100,000.
· Trade All Risks (Equipment) £1,000.
· Professional Indemnity £1,000,000.
We will not be responsible if; any injury and intent to claim is not reported in writing within 15 days of your animal leaving our care, custody and control and 2 working days with respect to an illness. We are not responsible for any costs exceeding the maximum limits of indemnity, costs incurred 48 hours after the animal leaves our care, custody or control. Funeral costs. Out of hours costs. Pre-existing injury or illness. Preventative treatment costs e.g. Vaccinations, spaying, castration. Any costs associated with any dog not being fully vaccinated including but not limited all compulsory vaccinations as well as Kennel Cough. We are not responsible for Funeral costs. Destruction of the animal without a vet’s opinion. Monies not paid to the animals’ owner. Unauthorised prescription medication. Consequential loss. Injury to any stud animal or any being used for breeding. Administration of any medication or treatment you give us unless under the direction of a vet; Death, injury, illness or disease to any animal that has not had its service fees paid for and is thus is not classified as a dog in That Dog Guy business care. Any reward that we have not agreed to and is not supported by a signed receipt giving the full name and address of the person who found the animal paid to the owner of the animal, a person employed by That Dog Guy, a member of your family or someone who lives with you. Microchipping performed by an uncertified person. Any sum if you have freely parted with the animal. Animals boarded for more than 6 months. Any dog that must be registered under Dangerous Dogs legislation. Guard or racing dogs, strays. Rescue dogs are not covered until such time they are officially rehomed with you. We are not responsible for Infectious diseases. Diseases transmitted from animals to humans. Any care outside of the UK. We are not responsible for any loss, cost, expense or liability relating to asbestos. We do our best to password secure and protect all data we hold for you. However, we are not responsible for a breach due to hacking, digital or cybercrime. We are not responsible for Radioactive and other contamination. Pollution or contamination. Sonic bangs. Terrorism. War and riot.
We cannot give medical advice and are thus not responsible for any advice you seek from us which should be directed to a vet.
We are only responsible for loss / damage to your property if caused by our direct negligent actions. As such we are not liable for burst boiler, economiser vessel machine or apparatus, Consequential loss, fines and penalties. Dishonesty. Unexplained disappearance or shortages in inventory. Voluntary parting with property. Gradual deterioration, frost, wear and tear. Corrosion, rust, wet or dry rot, shrinkage, evaporation, loss of weight, dampness, dryness, marring, scratching, vermin or insects. Other insurance. Pollution or contamination. Theft (in certain situations). Unoccupied buildings. Existing or hidden defect or the property insured's own faulty or defective design or materials. Change in water table level. Faulty or defective workmanship, operational error or omission on your part or any of your employees. We are not responsible if your dog is the cause of the damage.
We are not responsible for the loss of loose collars, faulty buckles, trackers or any other accessory your dog might lose during the course of its care. If you currently use any very expensive handmade collars etc you may wish to provide an alternative for their time with us or stipulate we must use our own.
By putting your dog in our care you confirm you are happy for your dog to be walked off the lead if we deem this appropriate. Subsequently, whilst we will take every care to prevent a dog from eating anything untoward, we will not take responsibility for any costs and damages if they do. If you feel this may be an issue for you and your dog, please discuss with us and we can look at training, muzzles or head collars to ensure your dog is not at risk.
Training and behaviour advice may only be taken from the qualified training team, not assistants or walkers. We are not responsible for any advice you take from other members of the That Dog Guy Team.
We are not responsible for any service you book directly with the carer as opposed to booking through the client portal or via email to the management.
We are not responsible for your loss of earnings or costs if you come to look for your lost dog.
Our responsibility is limited to that recoverable under our Pet Business Insurance (policy wording available upon request).
First Aid
By giving your dog into our care, you give permission for any team member to proceed with first aid and you indemnify us from any negative consequences that may arise from that. For example, it is normal that ribs may get broken when performing emergency CPR on a dog.
Contact & Updates:
Please let us know your preference for updates. E.g., Every day, every now and then, not unless there’s an emergency.
Unless you tell us you otherwise, we reserve the right to post pictures of your dog on Instagram and use their image in marketing material. In doing so, you agree we owe you no remuneration of any kind for the usage of your dog’s image. Please follow @tomhatdogguy to stay up to date.
Payment
REF for payment should be DOGSNAME + invoice number by bank transfer.
If any other form of payment is agreed, then the client will pay any charges The Company incurs.
For irregular services and consults, please pay upon booking to secure your dog’s dates.
If we have agreed to board your dog, we may ask you to pay in full at busy times such as Christmas or 50% upfront. It will be at the companies discretion if they wish to reimburse any of these if this service is cancelled with less than 4 week’s notice.
In quieter times when we have not asked for a deposit, then if you cancel boarding with less than 2 working days’ notice your carer reserves the right to charge for 2 working days of overnight charges as well as 2 working days of long walks.
For training, please pay in full upon booking.
If you decide to give tips / Christmas bonuses these will be shared with everyone who has cared for your dog.
We are grateful for payments within 5 days of invoicing. Chasing invoices takes time and therefore during busy periods clients with a reliable track record of paying on time will be given priority for care. Payments that are made later than 28 days of invoice will incur a 5% / surcharge for every month they remain unpaid.
All contact should be made via the portal or by email. Cancellations and messages made via text message or Whatsapp will not be considered as notice unless confirmed in writing by us that we have seen and actioned your request.

Cancellations
All bookings are subject to a 100% cancellation fee if less than 2 working day’s notice is given. If you have not pre-paid for the service, you will thus still be invoiced.
If your dog is unfit for care or training, then you may be offered credit to move the service to another date so long as evidence from your vet is provided. You are allowed up to a maximum of three cancellations in any year.
If your dog has a recurring health condition and we agree to book them into our care, you accept responsibility for the cost should they then be unfit for care with less than 2 working days’ notice on more than three occasions.
If you have a dog who is reactive, and we are happy to enrol them in group walks but we deem it unsafe to take them for on any given day no refund will be given. If this is a regular concern, then booking them into 1-2-1 walks may be more suitable for them so the time can be spent working their minds instead.
All credits will expire after six months and will be subject to availability.
If we or your carer arrives to collect your dog and your dog is not ready for collection, the job will be cancelled and not refunded. If we do have time to wait, waiting will be charged at £25/ hour +VAT.
All contact should be made via the portal or by email. Cancellations and messages made via text message or Whatsapp will not be considered as notice unless confirmed in writing by us that we have seen and actioned your request.
Competitions
Winners of competitions may not transfer their prize to an existing That Dog Guy Ltd client and may not be exchanged for cash. Services will only be provided in the local area, in the working day and subject to availability. Winners are bound by our terms and conditions if they accept booking a service. Including but not limited to our cancellation policy meaning failure to give 2 working day’s notice of cancellation will void their prize. However Winners may gift their prize to another person who is not already a client.
Privacy
The information we hold is collected and managed by THAT DOG GUY LTD. We collect your information from: face-to-face meetings, website registration forms, telephone requests, website booking options, referrals/data provided by our sub-contractors and transactions with us. We may also collect information provided by third parties.

THAT DOG GUY LTD oversees all of the data management to ensure compliance with this policy and the data protection rules. The data which is collected and managed is held for THAT DOG GUY LTD. THAT DOG GUY LTD is a dog walking and pet training service and we only use your personal information for these purposes. We do not provide your data to any third parties for them to use other than the purposes of our business or when legally required to do so. We do provide personal data to our pet walking and pet training service sub-contractors as described in this policy.
The personal information we collect and hold:
Website data: our website will collect your name, address, email address and phone numbers for the purposes of an enquiry.
Direct data: we will hold any additional information not collected through our website including details of your requirements and pets. You may edit this information through our booking portal Pet Carer Plus, a password-protected link for which you will be given upon registration with THAT DOG GUY LTD.
How we use and disclosure personal information.
We and third parties may use your personal data for the following purposes:
· providing you with our services, which may be for the purposes of dog walking, pet sitting, training, home boarding or our other pet care services;
· t allowing you to make bookings with us;
· creating an account for you to obtain information and updates from us, – you agree to this as part of our services or your request for updates from us;
· providing and administering the services we provide for you – this is part of the provision of the contract to you;
· providing you with information about promotions and products and services we offer – if you have consented to receive such information and not opted out – see below.
We will use your data in providing any services you purchase through us or about which you are interested. The way in which we deliver services is that we introduce you to the person who will provide the service to you. This person is an independent contractor and you will have an agreement with them and with us. We may share your information with the person providing the services and with third parties where necessary to provide the service. This information is used so we can carry out our obligations or rights under contracts with you, to provide our services or to update you about our services or promotions.
The person providing your service will also hold your personal information for the purposes of the contract you have with them to deliver the service for you. They will get details of your name, address, pet and services from us. Any other information you provide to them they should confirm how this is held.
We use your personal information when providing services to:
· provide our services;
· deal with any queries you may have;
· meet any regulatory requirements– this is a legal obligation on us.
Where we process your data, it is subject to our strict internal policy requirements as well as the Data Protection regulations.
The basis on which we hold and process your information is either because –
· you have a contract with us or are considering entering into a contract with us;
· we have a legitimate interest in holding and processing your information, this may be because you are a contact of someone to whom we are providing services or because you have previously used our services to keep you updated about our services or promotions;
· you have consented to our using your information.
How long will we hold your personal information?
We will hold the personal information to meet the requirements of our agreements with you (or bookings with us) for the period of those agreements and any further period afterwards that we need for regulatory or other legal reasons (such as to defend any claims). This may mean that we will hold information for five years after we provide services. We will remove any personal information we do not need when we no longer need it.
Where we have personal information which you have consented for us to use we will hold it for the period the consent remains in force and any other period we need for regulatory or other legal reasons. You may remove your consent at any time.
We will delete any information about you we no longer need. Please see below your rights to have data erased, rectified or for you to access it and for you to object to any processing or to transfer it.
Your Rights
You have a number of rights in relation to your personal information. These are:
· The right to confirm if we are using data about you and to access details about what we are using and how;
· The right to lodge a complaint with the Information Commissioner's Office;
· The right to request we rectify any inaccurate data or to have data which is incomplete for the purpose we hold it completed;
· The right to be forgotten. Which is the right to ask us to delete information about you. If it is appropriate to do so, we will;
· The right to restrict what we do with data in specific circumstances, including where the accuracy of the data is contested, processing is unlawful but you do not want us to erase the data or if we only need the data to meet legal requirements;
· The right to receive the data we hold about you in a format you can use to transfer the data electronically elsewhere.
You are also able to withdraw any consent you have provided for us to use your data at any time. This is opting out and the process is set out below.
Opting Out
You can opt-out by unsubscribing from any communication you receive from us.
General
